  1. Projects:
    • These are your active tasks with deadlines
    • Like “Website Redesign (wrapping up Dec 15)” or “Holiday Planning (finishing Dec 24)”
    • Ask yourself: What needs to get done by a specific date?
  2. Areas:
    • Think of these as your life’s departments that need constant attention
    • Like “Health” (where you keep workout plans, medical records) or “Personal Finance” (budgets, investments)
    • Ask yourself: What parts of my life need regular maintenance?
  3. Resources:
    • This is your personal library of useful stuff
    • Like your “Book Notes,” “Industry Research,” or that growing “Recipe Collection”
    • Ask yourself: Could this come in handy later?
  4. Archives:
    • Consider this your digital attic鈥攕tuff you’re done with but might need someday
    • Like “2023 Tax Documents” or “Previous Job Materials”
    • Ask yourself: Am I done with this for now, but might want it later?

  1. Overthinking It: If you’re spending more than a minute deciding where something goes, drop it in Resources and move on.
  2. Project Overload: Got more than 10 active projects? Time to move some to Areas or Archives.

  1. Check what’s cooking in my active projects
  2. Move finished projects to Archives
  3. Promote any Resources that are ready for action
